Office and Travel Manager

We are looking for an Office and Travel Manager who will act as the ‘face’ of our company and ensure visitors and coworkers receive a heartwarming welcome and timely support. You will undertake a variety of day-to-day office tasks and support other business activities. Among other things, you will coordinate all travel arrangements, operations, and will be the go-to person for any relevant matter, from booking tickets to reconciling expenses to ensuring travel safety.
Our ideal candidate can deal efficiently with complaints and has a solid customer service approach. Also needs to be well organized and a competent professional with phenomenal communication skills. The goal is to ensure that office operations are efficient and add maximum value to the organization.

Working hours:

  • from 9:00 to 18:00.

Your daily responsibility list will include:

  • Managing our reception area;
  • Providing all needed office/kitchen/cleaning supplies;
  • Managing the office condition and arranging necessary repairs;
  • Maintain office budgets and optimize expenses, work with documents;
  • Perform basic bookkeeping activities and update the accounting system;
  • Assist in vendor relationship management (including coordination of branding);
  • Supervising the daily cleaning of the office area;
  • Handle and oversee all travel arrangements (air, lodgings, visa) and operations, arrange travel and accommodations;
  • Provide advice on travel documents, insurance, import/export regulations, and process travel reports;
  • Cooperation with the HR department;
  • Cooperation with the Finance department;
  • Track employee leave and sick days and prepare monthly reports;
  • Assistance in organizing corporate events, training, etc.

Requirements:

  • High school degree;
  • Work experience as a Receptionist, Front Office Manager, or similar role;
  • Proficiency in Microsoft Office Suite;
  • Upper-Intermediate level of English and higher;
  • Hands-on experience with office equipment;
  • Knowledge of basic bookkeeping principles, office management systems and procedures, and accounting software;
  • Solid written and verbal communication skills;
  • Professional attitude and appearance;
  • A pleasant personality, excellent interpersonal skills;
  • Able to deal with emergencies in a timely and effective manner;
  • Customer service attitude, ability to be resourceful and proactive when issues arise;
  • Well-organized with the ability to prioritize and multitask.

Nice to have:

  • Experience in customer service will be a plus;
  • Experience or training in travel and tourism is a plus;
  • Knowledge of international travel regulations, customs, and currencies is a plus.
